RFP - Temporary Power Generation, Distribution & Lighting
Your firm is invited to submit a proposal to provide Temporary Power Generation, Distribution and Lighting for the 2010 Parker Days event on June 11, 12 & 13.
Below are the relevant specifications and requirements. Vendors are invited to submit bids with substitutions and/or suggestions should the specified products be unavailable to them. Any further questions may be directed to: Scott Wattum via email at events@parkerdays.org
Purpose of Request
Parker Days, formerly called the Parker Country Festival is a yearly event held the second weekend in June, in Old Town Parker. Dates for the 2010 event are June 11, 12 & 13. The event will typically draw anywhere from 90-100,000 people across the 3 days of the event.
The event is organized by The Parker Chamber of Commerce and consists of 4 major areas:
- Food/Beverage/Main Stage
- Marketplace
- Kids Country
- Carnival Rides
Consideration criteria* is based on the following:
- Chamber Membership Status.
- Past history with the event.
- Completeness of the RFP response
- Demonstrated ability to provide requested items and/or services.
- Competitive Pricing.
- Sponsorship status.
*All responses are considered on a variety of criteria and while these criteria are considered, they do not by any means guarantee or preclude acceptance of a suppliers proposal.
DEADLINE FOR PROPOSAL: March 3, 2010 no later than 5:00 p.m. Bids received after close of business on March 3, 2010 will not be considered.

- Generators:
- One (1) capable of delivering 30-39kW, single phase, 120/240 volt, sound suppressed desirable but not required.
- Three (3) capable of delivering 40-59kW, single/three phase, 120/208/240 volt, sound suppressed.
- Two (2) capable of delivering 60-79kW, single/three phase, 120/208/240 volt, sound suppressed with sufficient fuel tank size to provide overnight unattended service running at 50% load.
- Twenty-Four (24) 50 Amp Temporary Power Distribution Boxes:
- Outdoor rated
- Six (6) 20amp outlets @ 120v w/individual GFI protection
- One (1) 30amp outlet @ 240v (non-GFI)
- One (1) 50amp 120/240v Feed Through Receptacle
- Fourteen (14) 100' 6/4 Power Cord with plugs to match distribution boxes
- Fourteen (14) 50' 6/4 Power Cord with plugs to match distribution boxes
- Seven (7) Light Towers, with 6kW Generator, 4 Lamp, Towable
- Two (2) Light Carts, 1kW, no Generator, 4 Lamp, Transportable
- Forty-Two (42) Feet of Multi-Channel Cable Ramp
Additional Requirements:
- All generators noted as "sound surpressed" must be "Movie Quiet" rated at <=50 dBA
- Generators will be placed in 5 different drop locations around event site
- Light towers will be placed in 7 different drop locations around the event area
- Delivery of generators, light towers and distribution equipment/cables must occur before 12:00pm on Thursday, June 10th
- All equipment may be picked up after 9:00am on Monday, June 14th
- All generators (except as noted above) must be capable of running 8-10 hours at full load without refueling
- All generators should be towable/trailer mounted
- Extra lengths of 50'/100' 6/4 SOW Power Cables should be available as actual placement of distribution boxes may change slightly during set-up - these should only be billed if used.
Optional Requirements:
- Refueling service for all generators and light towers to occur before 8:00am on Saturday, June 12 and 08:00 Sunday, June 13
Proposal should include:
- Quote should be inclusive of all charges including delivery
- Individually itemized items
- Payment terms
